This application allows admissions and the individual schools to track prerequisite requirements for students.
Overview of Banner Forms
From the main menu, type WADM020 in the search bar.
Identifying a Student:
Enter the student’s ID number or look them up using the elipse button […]. The ID field look up is exactly the same as all other Banner ID lookup processes.
Once a student has been identified, the system will display the following screen:
The top portion of the screen lists all graduate level applications. Please note that there can be multiple as show above. You do need to select the appropriate admission.
When you select the appropriate admission record, the Prerequisites (SARCHKL) data and the Detail Prerequisites will change.
The center section of the screen lists all checklist items that pertain to this specific student’s admission that are being managed within this process. Any changes you make to the data in the center section directly affects the data in the SAAADMS screen. If you delete an entry here, you delete the entry there. If you enter a Receive date for an item, it will also be shown as received in the SAAADMS screen. Additionally, any update to a receive date for a CLT1-CLT9 code will cause a corresponding update to the SORPCOL table for that entry. A success or failure message will appear upon saving changes to inform the user if SORPCOL was successfully updated or if there was an error.
Additionally, when the receive date is entered on WADM020 to satisfy some specific prerequisite requirements that generates a registration hold (GC, GA, GB, OR GE hold code), if a hold currently exists, it will NOT immediately remove the hold. The overnight process of running of regr509 will release the hold.
Note that as you click on the different rows of checklist items on the screen, the lower portion of the screen will display any detail prerequisite items for that checklist item. Complete the data at the bottom of the screen as appropriate.
The SAAADMS screens allows you to maintain all checklist items but none of the detail prerequisite items. The WADM020 screen allows you to maintain SOME of the checklist items and ALL of the detail prerequisite items. What checklist items can be maintained via the WADM020 screen is defined on the “Codes to be used in Prerequisite Mgt. “(WADM021) screen. See Codes to be used in Prerequisite Mgt Maintenance below for details on managing that information.
Adding an additional checklist item for a student:
As students go through the admission process, the checklist items are added based on admission criteria defined in Slate. However, it may be necessary to add some checklist items manually. . For example, if the student has a concentration in Biology, you will need to add the ZBIO checklist item to the student’s record. To do this, place your cursor on a field in the Prerequisites portion of the screen. You will see that the insert option becomes available. Click the insert button.
A blank line appears. Place your cursor in the Admr Code field. As soon as you navigate to that field, the {…} ellipses button appears. Click on that ellipses to get a list of
values to select from. Select the code you wish to add by clicking on it and click ok.
Please note that the list of available Admission Requirements Codes are defined on screen WADM021 (Codes to be included in prerequisite tracking process).
Any code already on the student’s record will not appear in the list. This prevents adding duplicate codes.
Note that you cannot add additional detail prerequisites. Management of that information is completed on Banner screen WADM022.
Enter the Comment, Mandatory Indicator, Print Indicator, and Receive Date as appropriate.
Click the save button at the bottom, right side of the screen to SAVE this information.
If the record is successfully saved, you will see a green message in the upper right corner. If there is a failure, there will be a message in red indicating what the error is.
Deleting a checklist item or deleting detail prerequisite items:
If a checklist item has detail rows associated with it (ie: they have entries in the lower portion of the screen) then the deleting the checklist item, will cause the detail items to be deleted. Note that this functionality is different from the former wedu020 process.
To delete a prerequisite, highlight the field and click the delete button in that section and click SAVE in the bottom right corner.
Inserting a new detail prerequisite row for an existing checklist item:
You cannot directly add a detail prerequisite row for a given checklist item. You must add the prerequisite to the Prerequisite Maintenance screen first and then reload the detail prerequisite rows.
To change the prerequisites that are loaded for a given checklist item:

For each managed checklist item, the detail rows are entered in this screen.
Adding a new prequisite to a checklist item:
click Insert at the top of the screen and a blank line will be inserted.
Enter the Admr Code, Detail Code, Description, Sort Order, A for Active indicator, Print and Mandatory fields.
Click SAVE at bottom right corner of the screen to save your changes.
Once added to this list, from this time forward, each time the checklist item is added for a student, the detail prerequisite will be added. However, any student who already has the checklist item on their record, will not be affected.
Revising/deleting a prerequisite :
Highlight the row you wish to delete and set the value in the status field to I. You cannot delete the row as this would affect historic data. Please be cautious about revising data for the same reason. If you change a description, it will change the description for all prior data entered. It may be more advisable to inactivate something and then add a new code as opposed to revising an existing code.
Codes to be used in Prerequisite Mgt.
The codes listed on this screen controll what checklist codes can be maintained on the WADM020 screen. If a code is listed here, it may be maintained via the WADM020 screens. Adding and deleting codes from this list only affect what is managed on WADM020. It has no affect on the SAAADMS screens.
Go to screen WADM021. The following screen is displayed:
To add a new code to the list:
Click the Insert button at the top of the screen.
Use the elipses {…} button to get a list of all available codes and select one from the list.
Click SAVE to save the changes.
To delete a code to the list:
Highlight the row you wish to delete.
Click Delete in the upper right corner of the screen.
Click SAVE to save the changes
HOLD PROCESSING.
Effective 201640, Every night job regr509 will run via CRON at 11pm
Details of regr509:
Call admr451.shl to run the S2B checklist bridle from Slate.
Effective 2/1/18: Call regr509b.sql to satisfy the ZDG2 OR ZDEG checklist item when the comment field = “Canisius College” for any student where it is not satisfied and have been awarded an undergraduate degree from Canisius.
Effective 4/17/20 - Eliminated the Academically Dismissed students from the process of adding holds.
When the regr509 job runs nightly it checks to see if there holds that have been satisfied. If any are found, the system date is entered in the hold_to_date field. (This might happen if a tape load is received with scores or if someone manually satisfies the hold using SAAADMS instead of WADM020.)
On September 24th, February 3rd and the Monday after 6/28 this job will send an email reminder to Lisa Seely and Kevin Smith reminding them that the hold process will take place in one week. It reminds them to check Business Objects report REGR539 for a list of students who will be affected. This report is available in the Students, Admissions and in the Deans Assoc folders. This report lists students who have unsatisified pre-reqs based on the criteria in the table below. It also sends out portal message 68. The message is sent to students who are going to get a hold on their account in one week due to missing admission prerequisites. The text of that message is:
A student record hold will be placed on your record in 1 week due to outstanding admission requirement(s).
Missing Requirement(s):<List of missing requirements>
Please satisfy the outstanding requirement(s) as soon as possible to avoid a student records hold.

On October 1, Februray 10th and the Monday after the 4th of July, this job will place holds on students accounts, preventing registration if they have unsatisfied pre-reqs that are mandatory (See table below for Holds/Pre-Reqs). Portal message 65 is sent to students informing them of the hold on their accounts. The text of this message is:
A student record hold has been placed on your record due to outstanding admission requirement(s).
Missing Requirement(s):<List of missing requirements>
Please satisfy the outstanding requirement(s) as soon as possible so the hold can be removed.

Added 11/30/17 Per Julie Z’s request: For graduates only, the process looks for the term code of entry < the current term. The net effect of this is to allow graduate students one full term to meet the pre-req requirements before the hold is placed on their account. So if they start in the Fall, if the pre-req is not satisfied by Spring, then the hold will go on their account on the specific date of execution (March 15) preventing registration effective the Summer term. For undergraduates, the process looks for the term code of entry <= the current term.

2 portal and email messages are sent. One is sent a week before the hold is placed on the student account as a warning and one
is sent the day the hold is placed on the account as notification. The hold process placing the hold on the accounts runs on
10/1, 2/10 and the 1st Monday after July 4th.
