Printing in Offices

Print, Copy, & Scan
using Multifunction Devices (MFDs)
Canisius is updating its fleet of office equipment. Each new Xerox "Multifunction Device" (MFD) will have the following capabilities:

  • print securely
  • make copies
  • scan to a PDF file

Background on the MFD Program:
Pat Richey, V.P. for Business and Finance, appointed a Printer Task Force to investigate more efficient alternatives for printing & photocopying at the College. The Task Force included members of the Canisius faculty & administration and was chaired by Joel Cohen, Associate V.P. for Library and Information Services.

The findings of the Printer Task Force were compiled and presented in several campus forums announced through Under the Dome. Not only did these sessions provide an opportunity to meet representatives from ComDoc (the vendor who was chosen) but to ask questions & raise concerns as well.

Why are we reducing the number of printers on campus?
In order to avoid waste, conserve paper & toner, and to better manage printing & copying costs, a campus committee of faculty and administrators recommended reducing the number of printers and copiers while increasing the functionality of the remaining devices. (See overview above). As a result, new "multifunction devices" have been purchased that are capable of printing, copying, and scanning.

What are the charges for various printouts?

  • Xerox B/W pages are $.008/pg
  • Xerox Color pages are $.22/pg
  • HP B/W pages are $.035/pg

Can I keep my old printer?
Part of the agreement with ComDoc is for them to take ownership of existing printers for reconditioning, safe disposal, or use elsewhere on our campus. The number of printers and their location is also part of the agreement. Changes in the number of printers will incur cost. So, for all practical purposes, the answer to this question is “no”.

Can we keep the fax machine?
If your department has a fax machine, you may continue to use it, although you may prefer to send scanned PDFs instead.

Can I privately purchase a printer?
Printers purchased privately will receive no support from Canisius College. Neither technical support, nor support for purchase of supplies will be available.

How do I get help with a printer?
Call Com Doc at 1-800-321-4846 for help with printer problems. All supported devices should have a ComDoc "Service and Supplies" sticker on them. When calling ComDoc for support, they will ask you for the EQUIP ID number. This number is found on the device's ComDoc sticker. For any issues that ComDoc can not handle (e.g. Print Driver, Network Problems) please contact the ITS Help Desk at x8340.

The toner cartridge is almost empty.
How soon should we replace it?

For simplicity sake, it is best to wait until the toner cartridge runs out completely. Unfortunately, if you replace the toner cartridge of a Xerox MFD early (e.g. 1% remaining) you will need to log into the device in order to reset the toner level. In the event that this happens, call Com Doc at 1-800-321-4846 for assistance.

How do I get printer supplies?
Toner and staples for supported equipment should be requested from ComDoc by calling 1-800-321-4846 and providing the EQUIP ID number (found on the device's ComDoc sticker). There is no additional charge for toner but staples will be charged to your budget. Continue to purchase paper from your usual sources.

What do I do with unused cartridges for the old printer?

If you have unused toner cartridges or other supplies for the printer that was removed, you can drop them off at the ITS Help Desk located on the main floor of the library.

What should I do with used/empty toner cartridges?

In an effort to make it easier for the Canisius Community to do the right thing, we have simplified the process for recycling empty toner cartridges (and full waste-toner containers). Beginning December 2011, when a toner cartridge is empty (or when the waste-toner container is full) repackage the item to be recycled using the packing materials from the new item. Mark the box "RECYCLE" and send it to ITS through Inter-Office Mail. 

Can I get trained in the operation of our Xerox MFD?
Yes. Simply send an email to Daniel Misko (DMisko@comdoc.com) and Matthew Field (MField@comdoc.com) to set up a training appointment. If you have a specific question about your Xerox MFD you can also try the Xerox Knowledge base found on the ComDoc web site.

How are costs allocated
when sharing a device with another department?

Contact Frank Kirstein, Director of Computer Infrastructure (x8361) and he will work with you to allocate costs fairly.

Where on my computer do I find the printer?
Most of the time you will see your printer after a Print command in the Printer drop down menu. Select the appropriate printer, which will be listed by location and model. This example, displays devices in Churchill Tower on the fourth, fifth and sixth floors, all by room number followed by the model of each device.

How do I maintain confidentiality
in a shared print/copy environment?

You can control the release of your printout by enabling Secure Printing.
