Microsoft Teams: Attendance Reports

Organizers can turn attendance reports on or off in meetings they create. These can be viewed to see who joined, when they joined, when the left, for about how long they were in the meeting for, and more.

NOTE: You may receive some engagement information (i.e., whether or not the attendee had their camera on/off, mic on/off, etc.). Some engagement and engagement statistics are “Premium” features that Canisius (as of 06-09-2025) does not have.

When Creating a Meeting

I.e., before clicking on Send.

Click on More options to the right.

Click on Participation on the left.

Toggle the switch to the right of Allow attendance report (the default is ON-- it will become greyed out when it is toggled OFF).

Click on Apply when done.

The same steps can be used to turn the attendance report back on before sending the meeting.

 

Before a Meeting

After hitting send but before the meeting starts.

Click on the Calendar event and select Edit from the pop-up.

Click on the three horizontal dots to the left of Tracking. Click on Meeting options in the menu that appears.

A new tab in your browser will appear.

Click on Participation.

Toggle Allow attendance report on or off.

Click on Save.

The same steps can be used to toggle the attendance report as needed before a meeting.

 

During a Meeting

In a Teams Meeting, go to More>Settings>Meeting options.

Click on Participation and toggle the Allow attendance report option as needed.

Click on Apply.

View a Teams Attendance Report

In a Meeting

In a Teams meeting, click on People.

Then select the three horizontal dots to the right of Participants.

Finally, click on Download attendance list.

This will download a CSV to your Downloads folder.

The CSV file may not be what you are looking for. If you are looking for a dashboard with more details, check out the other options below.

 

From the Calendar

Click on the Event that has already past in the Calendar and select Edit.

In the Details tab, click on Attendance under Show meeting info.

When we do, we should get a detailed report (which we can download) that shows when the user first joined, when the last left, total amount of time the were in the meeting, etc.

From Chat

*Note: Meetings that you start yourself may not appear in the Chat area.

In Chat, click on the Meeting Chat (typically under Recent-- if you cannot find it, find the Calendar Event for it and then select Chat with participants. It should open the chat for that particular meeting.)

Click on Attendance.

Here, we can view who attended the meeting, for how long, and more information. We can also download the report.

From Meet App

*Note: you may need to add the Meet app by clicking on the three horizontal dots and clicking on View More Apps. From there, search for Meet and right click on it. From there, click on Pin. This will pin it to the left sidebar. For more information, review Microsoft’s Introduction to Meet.

Click on Meet in the left-sidebar. Then, click on View recap of the meeting you want to view the attendance of.

Click on Attendance either under Content or to the right of Recap in the tabs above.

Here, we can view who attended the meeting, for how long, and more information. We can also download the report.
