First Things to Know about Teams
Use the links on the left-sidebar of the above page to get a quick overview of the various features of Teams.
Teams for Video Meetings/Conferencing
Set up your devices to work with Teams. For additional information on setting up your microphone, see
Learn how to schedule a Teams Meeting. For recurring meetings, you need to use the Calendar. If it is not already on the left-sidebar, click on the three horizontal dots in the left sidebar. Find the Calendar app and right-click on it. Select Pin in the menu that appears. We recommend also pinning the Meet app (you may need to do a search to find this).
See Microsoft Teams: Recurring Teams Meetings for information on setting up meetings that happen more than once.

A brief overview of how to screen share in Teams.
See Microsoft Teams: Allow Others to Share Screen to learn how to provide screensharing capabilities to others.
Learn how to add a co-organizer to a meeting, including what permission(s) a co-organizer has. NOTE: to add a co-organizer to a meeting, they must be added as a “Required Attendee” first and they must have a @canisius.edu email address (i.e., be part of Canisius). See Microsoft Teams: Allow Others to Share Screen on how to allow outside attendees to share their screen.
Microsoft Teams: Attendance Reports
Use Attendance reports to track attendees, including when they first joined, last left, and for how long they were in the meeting for.
Microsoft Teams: Turn on End-to-end encrypted calls
While Microsoft Teams is already encrypted (see Security guide for Microsoft Teams overview - Microsoft Teams for more details), end-to-end encryption is a step above that. Note: end-to-end encryption only works if all participants have it active.
Create and Manage breakout rooms in Microsoft Teams meetings.
Meeting Templates
By default, Teams Meetings have a simple template for most meeting we schedule. However, Teams also offers templates for other types of meetings too.
Template Title | Description | Tutorial Link(s) |
---|---|---|
Webinar | An interactive event for large groups that includes Registration. Allows public or organization-specific meetings. Can provide presenter bios, customize the theme and registration form, see who registered, preview emails sent to registrants, and more. The meeting chat will be available in the Chat tab. |
|
Town Hall | Similar to a Live Event (see the differences here https://support.microsoft.com/en-us/office/switch-from-microsoft-teams-live-events-to-town-halls-c71bf6e2-ece1-4809-900e-51271f39ac72), but with more features. Can be set to Public so that anyone with the link can join. Using the Theming tab, we can set up a logo and theme color. We can also view Event Invitation and Event Recording Available emails, Reports (such as attendance reports), as well as Recordings (if any). When published, we are provided with a Join Link, Join Details for Organizer, Co-Organizer, and Presenter. An HTML Video Iframe will also be provided. The meeting chat will be available in the Chat tab. | |
Class | By default, Students can only chat during the meeting. We also can quickly set who can bypass the lobby/waiting room, who can present, whether or not attendees can use their mic/camera, and whether or not attendees can chat and when they can chat (On allows them to chat before, during, and after, In-meeting only allows them to chat only during the meeting, and Off completely removes the option to chat). The meeting chat will be available in the Chat tab. | |
Lecture | Similar to the above, but by default students can chat before, after, and during the meeting. The meeting chat will be available in the Chat tab. | |
Live Event | Produce a live event: As the meeting organizer, you are the “producer” of the event and can invite presenters (both within and outside of Canisius). After setting up the Live Event, you will get a shareable Attendee link. The meeting chat will be available in the Chat tab. |

Creating Shared Spaces in Teams
Create a group Chat (similar to texting) for you and others. You can also share documents, though they are automatically set to “Anyone with the link can view”, so make sure that these documents do not contain any private/privileged information.
Add people to a chat.
Quick overview of chat features.
Teams for Departments/Classes
With a Team, you can communicate with and share documents securely (vs. a Chat, which only allows for publicly sharing documents) with people added to the Team. Creating a Team also creates a SharePoint Site (similar to a Shared Google Drive/Google Sites combination, see SharePoint on the previous page for more information) for that Team, which anyone added to the Team can access.
Similar to a Team, but with additional tools geared towards professional development and training.

Team Channels
Learn how to create a Channel in a Team. These are useful for breaking down a Team into different groups and/or topics. Files shared in a specific channel won’t be shared to other channels.
Channel Types
Team owners can create three different types of Channels: Standard, Private, and Shared. Each have different different access permissions, described below (additional role permissions, i.e., Owner or Member, can be set when a user is added to the Channel). It is also important to note that once a Channel is created, the Channel Type cannot be changed. A more detailed overview of the Channel Types are available here: https://support.microsoft.com/en-us/office/standard-private-or-shared-channels-in-microsoft-teams-de3e20b0-7494-439c-b7e5-75899ebe6a0e
Channel Type | Description |
---|---|
Standard | Everyone added to the Team prior to and after this channel was created will be able to access it. |
Private | Only specific people added to the Team and then added to this channel will be able to access it. |
Shared | People from outside the Team can access this channel. Upon creation, have option to add everyone in the Team to this channel (can still do so manually afterwards). Detailed information available here: https://support.microsoft.com/en-us/office/what-is-a-shared-channel-in-microsoft-teams-e70a8c22-fee4-4d6e-986f-9e0781d7d11d |

A general overview of Teams for Video Calls is available here: https://www.microsoft.com/en-us/microsoft-teams/video-calling (note: this is mostly an ad-page for Teams, but at the bottom is an brief FAQ). Additionally, note that some features may be restricted (including using the dial pad in the Teams Call app to call specific numbers/people outside of the Canisius University Organization).
