D2L: Export the D2L Gradebook

Regulations require us to keep gradebook information for five years. While D2L can do this, it is better to export the Gradebook. This is particularly because, when a student graduates, they will be deactivated in D2L and “disappear”, including all of their submitted work and grades. To make their submissions reappear, a D2L Admin needs to manually reactivate the student and then deactivate the student when the information has been retrieved.

In the Course Navbar, go to Grades.

Click on the Export button in the upper-left.

We have a few options in the next page. Here are the options we recommend:

Field	Recommended Setting
Key Field	Username *Org Defined ID is their Canisius ID#. This is not something that you will normally need.
Sort By	Last Name, First Name, Username, Org Defined ID
Grade Values	Check both Points Grade and Grade Scheme
User Details	Check Last Name and First Name
Grade Item	Make sure that the necessary grade items/categories are checked (should be by default).

When finished going through all of the settings, select either CSV or Excel.

CSV will be a faster download, but will take a bit longer to load into Excel. It also may not look as clean when opened in Excel.

Excel will take a bit longer to download, but will load faster in Excel. Looks much cleaner when opened in Excel.

Download speeds are dependent on the number of grade items and how much information we choose to add to the download.

In either case, a pop up will appear letting us know that D2L is getting our gradebook ready.

When the download is ready, the message will update with green bar and Complete.

The Download button will also no longer be greyed out. Click on Download to download the file.

When the download is complete, make sure to open it in an appropriate program. Additionally, make sure that the names and grades are accurate.
